Admin app overview

The Kakuto admin app is the web app you use to run your gym. Gym owners, coaches, reception and finance staff use it to check members in, look after memberships and payments, talk to members, and set up how the members’ app looks.

It works in any modern web browser, on a computer, tablet or phone. Your members use a different app on their phones: see the members’ app guide.

Getting started

Signing in and finding your waySign in, switch gym, use the menu and sign out.

How the menu is organised

The menu on the left groups the pages by the job you’re doing. Everyone sees every page in the menu. Pages your role doesn’t include show a padlock.

Members & Classes

Section titled “Members & Classes”
  • Attendees: check members in to today’s classes.
  • Members: look up a member, their membership, belt, notes and history.
  • Member Map: see where your members live.

Finance

Section titled “Finance”
  • Billing: send the gym your own class and expense invoices.
  • Subscriptions: members’ card and Direct Debit subscriptions and payments.
  • Subscription Products: your Direct Debit price list.
  • Income: monthly recurring revenue and trends.
  • Invoices: review the invoices staff have sent.
  • Coach Pay: check coach invoices against your bank payments.

Community

Section titled “Community”
  • WhatsApp: members’ WhatsApp conversations.
  • Announcements: post a message to the members’ app.
  • Email: the gym’s inbox, most important mail first.
  • Mass Email: email a filtered group of members.
  • Votes: run polls for your members.
  • Moderation: review reported members and appeals.
